Applicant Assessment Privacy Notice

This applicant-specific notice supplements the general Humboldt Friends Privacy Policy and applies only to information collected through the Employee Ethics Assessment.

Information collected

Humboldt Friends collects the applicant's name, phone number, email address, the PIN entered for authorization, assessment answers, answer-correctness records and the resulting derived score, status and progress, save and completion times, and limited session and security information.

The full PIN is used to verify access and is not stored. A one-way verification record and the PIN's last four digits are retained as authorization and audit metadata. Do not enter diagnosis or other medical information, a Social Security number, a Medi-Cal or Medicaid identifier, government identification, or payment card information in an answer.

How the information is used

The information is used to confirm authorized access, evaluate job-related ethics and judgment, support human review, maintain employment records, prevent fraud or misuse, secure the service, respond to applicant questions, and meet legal or operational obligations.

Humboldt Friends does not use the score as an automatic employment decision. A score does not automatically hire, reject, rank, or otherwise decide a candidate's employment.

Who may access it

Authorized Humboldt Friends reviewers may access applicant identity, answers, correctness records, progress, score, and review records for the purposes above. Service providers that support hosting, storage, security, administration, and assessment operations may process information only as needed to provide those services. Humboldt Friends may also disclose information when required by law.

Humboldt Friends does not sell assessment information or share it for cross-context behavioral advertising.

How long records are kept

Assessment invitations, applicant contact information, answers, correctness records and score, status and timestamps, and related authorization and audit metadata are retained for at least four years from the later of record creation or receipt and a related employment action.

After that minimum period, Humboldt Friends reviews whether continued retention is reasonably necessary or legally required. Records may be retained longer for a complaint, investigation, litigation, legal hold, related proceeding, or other legal requirement. Four years is a minimum review date, not an automatic deletion date.

Assessment-session access may expire after 14 days; that expiration does not delete the underlying employment-assessment record. Limited session and technical-security information is retained under system and provider settings only as long as reasonably necessary to authorize access, secure the service, prevent or investigate misuse, or comply with law.

This operating minimum reflects California employment-record requirements, including California Government Code section 12946.

Privacy requests and questions

Email support@humboldtfriends.com or use the Humboldt Friends contact page to ask about an assessment record or request access, correction, deletion, or other privacy support. No member sign-in is required. Humboldt Friends verifies requests. A deletion request may be delayed or denied when employment-record retention, a complaint, an investigation, litigation, a legal hold, or another legal obligation requires continued retention.
